Tutorial 4: Managing your Team

With a team created and members quickly signing on, it’s time to look at the features that are available to managing your team. You can get to your team site by clicking on the ‘view’ button beside the team you have access to.

From here you’ll be looking at your team’s bulletin page (I like to refer this as your team’s member’s home page). Here you’ll see a section to update your team with bulletins, and catch up with team by viewing your team wall.

There are several features that you can use to manage your team, so we’ll start with the bulletins. In the top left corner of each page, there will be an options section containing links that enable you to modify the pages.

Posting a Bulletin:
Depending on your privileges, you may or may not be able to post a bulletin. If you do have the privilege you can post your first team bulletin by clicking on the post bulletin link.

When viewing the post bulletin screen, there are really only 2 fields that are required: the title, and the body of the message. That’s it! When you’re done you can click on submit and you’ll find the bulletin posted on the team home page.

We know how often these bulletins are posted, so we’ve added a special option called ‘cc email’. By selecting this feature, ready-ready.org will take your active roster, and email them your bulletin. It will save you from having to keep you own contact list up to date, and not to mention keep you from keying in those names into your email.

You can edit your bulletins by clicking on the edit bulletin link, which is found at the bottom of every bulletin (for those who have the privilege).

Posting a Coach Note:
We’ve included a new feature here at ready-ready called a ‘Coach Note’. Essentially this works exactly the same as the bulletins, except it’s a place for a coach to communicate directly with the team, talking about race preparation, last practice etc. Only coaches have the privilege of posting here.

There are two options available with posting a coach note ‘cc bulletin’, and ‘cc email’. The ‘cc bulletin’ option creates a bulletin indicating that a coach note has been posted. The ‘cc email’ will email your coach note to the active roster.

You can edit your coach notes by clicking on the edit coach note link, which is found at the bottom of each coach note (for those who have the privilege).

Roster Management:
At ready-ready.org we’ve also included an additional roster feature to allow you to have a simplistic and nicely laid out view of your team. Begin managing your roster by clicking on the roster button located beside the bulletin button. Depending on your privileges what is visible will change. See below for privileges on the roster page:

Paddler:
view the team contact list
view the roster layout (weight, height not shown)

Organizer:
view the team contact list
view the roster layout (weight, height not shown)

Manager:
view the team contact list
view the roster layout (weight, height not shown)
view personnel information (all shown)
view waiting list (all shown, can decline or accept paddlers)
Is able to edit paddlers

Captain:
view the team contact list
view the roster layout (weight, height shown)
view personnel information (payment, uniform not shown)
view waiting list (all shown, can decline or accept paddlers)
Is able to edit paddlers

Coach:
view the team contact list
view the roster layout (weight, height shown)

Editing a paddlers profile:
You can modify privileges, roles, paddle sides, and indicate if they have paid, by selecting the edit button on a paddler. The paddler’s information will appear on the right side, and on the left blocked in colour are the options that are available for change.
